ACADEMIC VERIFICATION – GENERAL REQUIREMENTS

 

  1. Confidentiality of Student/Graduate Records

    UM student/graduate records are confidential and will not be released without the written consent of the student/graduate, unless otherwise required by law. By signing this application form, the applicant authorises the Examination and Graduation Centre (EGC), as the central agency of Universiti Malaya, to release the requested information to the third party/parties specified in the application.

  2. Academic Verification Service

    1. Academic verification is processed by the Examination and Graduation Centre (EGC), as the central agency of Universiti Malaya upon request by UM graduates for specific purposes, such as sponsorship, employment, further studies, job placement or other official requirements.

    2. Note for PTPTN Holder

      1. The Examination and Graduation Centre (EGC) will only process applications one month after the Convocation Ceremony.

      2. Kindly provide a copy of your academic scroll (Bahasa Melayu Version) and academic transcripts for verification purposes. The documents will be certified as Certified True Copies (CTC) for your submission to PTPTN.

  3. Complimentary Academic Documents

    Students who have successfully completed their studies and have been approved for graduation by the Senate will receive one complimentary copy of their academic transcripts and academic scrolls during the Convocation Ceremony.

  4. Eligibility for Transcripts Application

    Applications for academic transcripts are strictly limited to UM students/graduates who have:
    • successfully completed their studies;
    • obtained Senate approval for graduation; and
    • received a Completion Letter issued by the Examination and Graduation Centre.

  5. Issuance of Academic Transcripts

    As the academic transcripts contains personal and confidential information, it will only be issued to the graduate named in the transcript or sent directly to another institution upon the graduate’s request and with the appropriate authorisation.

    Administrative fee: RM50.00 per copy of the academic transcripts.

  6. UM Graduates – Class of 2014 and Earlier

    1. Lost or Damaged Academic Scroll
      In the event of a lost or damaged academic scroll, graduates are required to provide a copy of the police report as supporting documentation when applying for the reissuance or replacement of the original academic scroll, where applicable.

    2. Processing of Application
      The application will only be processed upon receipt of all required documents and proof of payment from the graduate.

    3. Design and Authorised Signatures
      The reissuance or reprinting of an academic scroll will use the existing scroll design and the signatures of the authorised officials (Vice-Chancellor and Registrar) who are currently holding these positions.

    4. Applicants acknowledge and agree that the reissued or reprinted scroll may differ from the original in terms of design, signatures, or other related aspects where applicable.

  7. Application Form and Proof of Payment

    Please complete the latest version of the  [ACADEMIC VERIFICATION FORM (ALUMNI UM)]  (Revised on 21 September 2026) and submit the completed form via email to  verify_um@um.edu.my. Applicants are required to provide proof of payment via   epay@UM at epay.um.edu.my  of the applicable fees:

    • RM50.00 for each academic transcript
    • RM300.00 per academic scroll (Bahasa Melayu or English) for local graduates
    • USD300.00 per academic scroll (Bahasa Melayu or English) for international graduates.

  8. Further Assistance

  9. Availability and Processing Timeline

Notes:

  • Paid services are subject to the applicable fees.
  • Processing period of 7–14 working days is subject to complete application, required documentation and successful payment verification.
  • Processing may take longer for older UM graduates whose records are maintained in legacy systems.

  1. Effective from 1 November 2023, any application that reaches our office within  ONE MONTH from the date of the upcoming convocation ceremony will be processed after the completion of the ceremony (duration of ceremony: 2 weeks). Please visit umconvo.um.edu.my for more details.
